Student Consent to Share Information

Before submitting any application, you must consent to UNICONS sharing your personal data, academic records, and supporting documents with the universities and educational partners relevant to your application.

1. Purpose of This Consent

This document sets out your consent to LOPEX UNICONS LTD (trading as UNICONS) sharing your personal data and application materials with universities, educational institutions, and authorised partners for the purpose of processing your university or college application.

This consent is required before any application is submitted on your behalf. Without this consent, UNICONS is unable to submit applications or liaise with institutions on your behalf.

This consent is separate from, and in addition to, the general data processing activities described in the Student Privacy Notice. It specifically governs the sharing of your data with third-party institutions in the context of your application.

Your consent is obtained under Article 6(1)(a) of the UK General Data Protection Regulation (UK GDPR) and, where special category data is involved, under Article 9(2)(a) UK GDPR.

2. Scope of Data to Be Shared

By providing your consent, you authorise UNICONS to share the following categories of your personal data with the recipients described in Section 3:

2.1 Personal and Identity Information - Full legal name, preferred name, date of birth, gender, and nationality - Passport details and/or national identity document information - Contact details including email address, postal address, and telephone number - Country of domicile and country of birth

2.2 Educational Records and Qualifications - Academic transcripts from all previous educational institutions attended (secondary school, college, undergraduate, postgraduate) - Details of qualifications obtained and grades achieved - Predicted grades or assessments provided by current institutions - English language proficiency test results (e.g. IELTS, TOEFL, PTE Academic, Duolingo English Test, Cambridge Assessment English) - Details of any other language or professional qualifications relevant to the application

2.3 Application Documents - Personal statement(s) and statement of purpose - Academic and professional references and reference letters - Curriculum vitae (CV) or résumé where submitted - Portfolio or work samples (where relevant to the programme applied for) - Research proposals or study plans (where relevant)

2.4 Financial Evidence - Bank statements or financial sponsorship letters provided to demonstrate financial capacity for visa or application purposes - Evidence of scholarships, bursaries, or other financial awards

2.5 Immigration and Visa Information - Details of current immigration status in the UK or other country of study - History of visa applications and outcomes, including any previous visa refusals, as disclosed by you to UNICONS - Details of any current or previous student visas or leave to remain

2.6 Additional Supporting Documents - Any other documents submitted by you in support of your application, including health or disability disclosures made voluntarily for the purpose of seeking academic support, equality and diversity monitoring forms, and criminal conviction declarations where required by a Partner Institution

3. Who Your Information Will Be Shared With

Your data will be shared only with the recipients who are directly involved in processing your application. These include:

3.1 Named Partner Institutions Your application data will be shared with the specific universities, colleges, or educational institutions to which you submit an application through the UNICONS platform. These institutions will be identified to you on the Platform at the point of application, and no application will be submitted without your explicit selection of and consent for each institution.

3.2 Assigned UNICONS Counsellors and Agents Your profile, documents, and application progress will be accessible to your assigned UNICONS counsellor or agent, who assists in preparing and managing your application. Counsellors and agents operate under UNICONS' data protection policies and confidentiality obligations.

3.3 UNICONS Overseas Partners Where an application is made to an institution outside the United Kingdom, UNICONS may engage authorised overseas partner organisations to facilitate the application on your behalf in that territory. These partners are bound by equivalent data protection obligations and operate under agreements with UNICONS.

3.4 Accommodation and Student Services Providers (where applicable) Where you expressly request assistance with student accommodation, your name and contact details may be shared with partner accommodation providers solely for the purpose of processing your accommodation enquiry. No financial data will be shared for this purpose.

3.5 No Sharing Beyond Application Purpose We will not share your information with any institution, organisation, or individual that is not directly involved in processing your application, nor will we sell or disclose your data for commercial purposes unrelated to your application.

4. Purpose of Sharing

The data listed in Section 2 is shared solely for the following purposes:

  • Admissions processing: Enabling Partner Institutions to assess your eligibility and suitability for the programmes to which you have applied
  • Offer management: Facilitating the issuance, acceptance, or rejection of conditional or unconditional offers
  • Enrolment: Supporting the onboarding and enrolment process following acceptance of an offer
  • Scholarship and bursary consideration: Sharing relevant information where you have indicated interest in institutional financial support
  • Visa documentation: Where required by an institution as part of the Confirmation of Acceptance for Studies (CAS) or equivalent process
  • Quality assurance: Internal quality monitoring by UNICONS of the application process

Your data will not be used by Partner Institutions for purposes beyond those related to your application and enrolment without your separate consent.

5. Withdrawal of Consent

You have the right to withdraw this consent at any time. To withdraw your consent, please:

  • Email us at enquiry@unicons.co.uk with the subject line "Withdraw Data Sharing Consent"
  • Write to us at LOPEX UNICONS LTD, 214 High Street, Second Floor, Hounslow, TW3 1HB, London, United Kingdom

Please include your full name, registered email address, and the specific application(s) to which your withdrawal relates.

5.1 Consequences of Withdrawal

You should be aware that withdrawing your consent may have significant consequences for your application:

  • UNICONS will be unable to continue processing any pending applications on your behalf following receipt of your withdrawal notice
  • Any applications already submitted to Partner Institutions prior to withdrawal cannot be recalled, as those institutions will have received and begun processing your data under their own data protection frameworks
  • UNICONS will notify you of any applications that have already been submitted and cannot be withdrawn at the time of your request
  • You may lose priority processing status, provisional offers, or application deadlines that cannot be reinstated

Withdrawal of consent does not affect the lawfulness of any data sharing that took place prior to the withdrawal.

5.2 Effect on Existing Data Held by Institutions

Once your data has been shared with a Partner Institution, that institution becomes an independent data controller of the data it holds. Requests for erasure or rectification of data held by a Partner Institution must be directed to that institution directly. UNICONS can provide contact details for Partner Institutions upon request.

6. Retention Following Withdrawal

Following withdrawal of your data sharing consent, UNICONS will:

  • Cease all further data sharing in connection with your application
  • Retain records of the consent granted and subsequently withdrawn for 3 years from the date of withdrawal, for audit and compliance purposes
  • Retain application records for 7 years in accordance with our standard retention schedule, as required for legal and regulatory compliance
  • Handle any request for erasure of your broader personal data in accordance with the rights set out in the Student Privacy Notice

Anonymised and aggregated data relating to application patterns and volumes may be retained indefinitely and is not subject to erasure requests.

7. Your Rights and Further Information

This consent document should be read in conjunction with the Student Privacy Notice, which sets out in full your rights as a data subject, the lawful bases on which we process your data, and how to exercise your rights including the right to access, rectification, erasure, portability, restriction, and objection.

If you believe your data has been processed unlawfully or your rights have not been respected, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at www.ico.org.uk or by calling 0303 123 1113.
